Terms & Conditions for Rentals

In choosing to rent our product, you agree to the following terms and conditions:

Payments: We offer 2 payment options: Payment in full upon booking, or SHOP PAY (which splits the payment into 4 installments).

Disclaimer: In choosing to rent our floral arrangements, you understand that although some of these flowers look real, and are named after real flowers, most of them are in fact artificial, and therefore only resemble the real flowers to which they refer.

Balance due must be paid in full at least 30 days prior to the wedding/event. If payment of balance due is not made, flowers and decor will not be ordered, and this contract will be closed at the determination of Young Vine Rentals. If Young Vine Rentals determines that the contract can still be fulfilled after this date and you wish to continue the contract, there will be a 10% fee added to the balance due and an additional 10% fee for each 7 days that the balance is late. Any extraordinary costs incurred due to the late payment will be passed on to you.

Additions less than 30 days prior to the wedding/event, will be accepted up to 7 days prior to the wedding/event and must be paid within 24 hours. No guarantee is given that the same flowers will be available and pricing will be determined according to what is available. Color and style will be matched as closely as possible.

Substitutions: Young Vine Rentals reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable to wedding/event. The integrity of the proposed look and color scheme will be maintained and flowers of equivalent value will be used. Young Vine Rentals will inform you if a dyed flower is being used and will not be held liable for staining to any garments due to their usage.

Terms: At the time of the initial retainer, adjustments can still be made to the invoice. Large additions and subtractions are accepted up until the balance is paid in full. There is a guaranteed minimum payment of 85% of the original proposal. Any liability on the part of Young Vine Rentals is limited to the full refund of monies paid minus the retainer fee.

Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as Young Vine Rentals is made aware of these increases. Young Vine Rentals will send the customer an invoice for the additional cost, to be paid within 30 days of the event. 

Price is for 1 setup/location only. Additional fees will apply if the desired rental item is to be moved from the ceremony to the reception, or anywhere else. If you need any rented item moved from the ceremony to the reception(or anywhere else), an additional moving and setup fee will be required. Our arches, arbors, pillars, and backdrops are very large and do not fit through typical doorways. Some of the arches have to be disassembled, which requires our movers and/or florist to stay onsite throughout the ceremony. We then will move it to the desired location after the ceremony is over, set it up again, and/or re-style any displaced florals. Some items that do not need to be taken apart are still not easily moveable, such as our floral urns, floral pillars, etc. For insurance and liability reasons, moving these items must be done by Young Vine Rentals staff only.

Please be sure to check with your venue to confirm our rentals will fit in the desired area. Young Vine Rentals is not liable for items that cannot be set up or used as a result of space constraints at your venue.

Due to the nature of our product, we cannot set up our product more than 3 hours before the ceremony start time for any outdoor ceremony or event occurring during daylight hours.

All orders include delivery, setup, and pickup, with a pickup time of no later than 9:00 PM, and delivery within 15 miles of our warehouse.  Pickups past 9:00 PM will incur an additional fee. The delivery cost for orders outside of 15 miles is typically $1.75/mile for the round-trip, but the final delivery charge will be determined on the basis of exact location and other factors (e.g. whether your desired rental item requires intricate setup by our movers and/or floral designer, whether the trip to your venue will involve ferry transportation or tolls, whether your venue has a loading dock and/or freight elevator, etc). We will gladly offer precise quotes for the delivery fee via email, based on the aforementioned factors. 

Any pickups past 9:00 PM are subject to a late night pickup fee, which is detailed below.

9:30PM: Charge of $50

10PM: Charge of $100

10:30pm: Charge of $150

11PM: Charge of $200

11:30pm: Charge of $250

12AM: Charge of $300

Product Handling: No rentals are permitted to be left outside overnight, including the arbors, urns, arches, pillars, or backdrops of any kind (including flower walls). Our rental pieces are not intended for display in the rain, due to the moisture-sensitive nature of the real-touch premium flowers used in their design. If there is rain in the forecast and the arch is outdoors, we will return to your venue to retrieve the item early.  No one is allowed to transport, take-down, or move our product without prior written approval from Young Vine Rentals.

Any damage done to our products beyond natural wear during the rental period will be charged to the customer's card in the amount of 2 times the rental price of the item. If an item cannot be retrieved within the agreed-upon rental period, you will be charged 4 times the rental cost of the item and will be allowed to keep the item. Your credit card information is safely stored and will be deleted once the items are returned. 

All wedding/event decor must be communicated to Young Vine Rentals to preserve the consistency of your wedding/event. Any decor for the wedding/event not provided by Young Vine Rentals cannot be guaranteed by Young Vine Rentals, even in cases where items belonging to Young Vine Rentals have been incorporated. In such cases, any alterations deemed necessary will be made to preserve design consistency, and Young Vine Rentals will be blameless.

Venue and Location Limitations: Young Vine Rentals is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of the customer; Young Vine Rentals will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Young Vine Rentals.

Cancellations: We require a 90-day cancellation notice, otherwise your retainer will not be partially refunded. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will move your retainer free of charge to another date within 1 calendar year of the original event date. 

Retainers will not be refunded in full. Refunds will exclude the payment processing fees, as well as any time spent by Young Vine Rentals in communication with you (the customer), the time spent forming your proposal, any time spent working on your event preparations and/or ordering flowers to customize the rental items per your request, any fees charged by our banking institution for refunds, and may include the fees associated with us making the rental item(s) available online for you to rent. 

Young Vine Rentals reserves the right to cancel this contract if at any time Young Vine Rentals feels that its obligations cannot be met. Young Vine Rentals will credit the amount paid, minus any actual costs incurred up to the point at which Young Vine Rentals informs you. 

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Seattle, Washington, before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
